Facilities are available to both commercial and non-profit groups
Commercial Groups are any groups or organizations that would rent a facility to earn profit from the event. These groups or organizations will be charged either resident or non-resident commercial fees for the use of any park facility.
Non-Profit Groups are any patriotic, charitable, fraternal, religious, or service groups. Proof of non-profit status, such as the Articles of Incorporation or current 501C3, must be provided by these groups. However, non-profit may also include family events, such as weddings and picnics, whereby proof of non-profit status is not required.
General Event Requirements
The following requirements must be met by all groups or individuals interested in rental of the facilities. NO EXCEPTIONS will be made unless previously approved by the City Council. Your reservation if these requirements are not met in a timely fashion.
Reservations, Cancellations, Fees, and Deposits
Since our facilities are in demand, we recommend that you that you reserve as early as possible, we require a minimum of 10 working days’ notice.
Facility Rental Waiver
CONDITIONS OF USE OF THE CALIENTE CITY PARKS AND RECREATION FACILITY:
FACILITY RENTAL WAIVER & POLICIES
INSURANCE
Liability insurance in the amount of $1,000,000.00 is required. A CERTIFICATE NAMING CALIENTE AS “ADDITIONAL INSURED” MUST BE PROVIDED.
HOLD HARMLESS
The individual and/or organization renting the facility agrees to indemnify, defend at the City’s request, and hold the City of Caliente harmless from any and all liability, costs, claims, judgments, damages or expenses, including attorney’s fees and related costs and expenses, which the City of Caliente may incur or sustain by reason of any negligent act or negligent failure to act or intentional wrongful act or intentional wrongful failure to act by the individual and/or organization, its officers, employees, agents and/or subcontractors, in or relating to the use of the City’s premises, facilities and property.
PAYMENT AND CANCELLATION
All fees, forms, and permits must be received 10 working days prior to the event. Cleaning/damage deposits may be refunded and take approximately 5 days to process. FINAL CHARGES WILL BE DETERMINED AFTER THE EVENT. Any charges over the estimate shown on the permit will be deducted from the cleaning/damage deposit. If the cleaning/damage deposit is not enough to cover all of the charges, the additional amount will be billed to the renter and due within 30 days. If the estimate shown on the permit is lower than the actual charges, a refund will be issued within 30 days. There are no refunds for cancellations.
RENTER RESPONSIBILITIES
Renter is responsible for clean-up and removal of any decorations, etc. used. Failure to leave the facility in satisfactory condition as determined by the Parks & Recreation staff by the departure time specified on this contract and may result in additional charges. The Parks and Recreation Department is not responsible for anything left on the premises.
In all circumstances, Caliente Parks and Recreation retains full authority for final approval and/or denial of facility reservation requests.
A Business License is required when the renter will be selling any product or promoting any special event (i.e., food, concert or craft fair).
A Health Permit is required for any event where food or beverages are being sold to the public.
